Position overview
Stock Administrators play a vital role in maintaining accurate inventory levels, tracking product movement, and supporting the store’s overall stock control. You’ll assist with audits, reconcile discrepancies, generate inventory reports, and ensure data is recorded with precision. This role is ideal for someone with strong analytical skills and an eye for detail.

What you will do
Duties & responsibilities
Inventory Management
- Maintain accurate records of stock levels in the inventory management system.
- Track and record within stock tables summaries, various stock movements, including deliveries, transfers, and returns.
- Monitor inventory levels and report shortages, surpluses, or discrepancies to the Store Manager.
Supplier Coordination
- Communicate with suppliers regarding order statuses and discrepancies.
- Verify incoming stock against purchase orders and delivery notes to ensure accuracy.
Stock Audits & Reconciliations
- Assist in conducting regular stock audits to ensure inventory accuracy.
- Reconcile discrepancies between physical stock and system records, identifying and rectifying errors.
- Generate stock reports and assist in preparing data for management reviews.
Data Entry & Reporting
- Input stock-related data accurately into inventory management systems.
- Generate and distribute regular stock level reports, including low-stock alerts, surplus, non-moving, shrinkage and soilage summaries.
- Assist with compiling data for financial reporting and inventory performance analysis.
Stock Room Organisation
- Ensure stock is stored correctly in designated locations within the warehouse or stockroom.
- Assist in ensuring processes related to product labelling and categorisation are adhered to for easy identification and retrieval.
Loss Prevention & Compliance
- Monitor stock handling to minimise losses due to damage, theft, or mismanagement.
- Ensure all stock movements comply with company policies and procedures.
- Adhere to health and safety standards in the stockroom or warehouse.
Team Collaboration
- Work closely with other departments, such as purchasing, finance, and sales, to ensure smooth stock operations.
Other
Any other task from time to time.
Requirements
- Minimum 4 years work experience in retail
- Minimum matric/diploma
- A recent SAPS clearance
- A valid medical certificate
